SAM.gov — the System for Award Management — is the federal government's official registry. No business can receive a federal contract or grant without an active SAM registration, which makes it the very first step into the market and, for many owners, the most frustrating. Entity validation stalls, the Unique Entity ID (UEI) won't generate, NAICS and PSC codes and reps & certs pile up, and a single mismatch with your IRS or state records can hold the whole thing for weeks. Registering is free — but doing it right, choosing the codes that make you findable, and keeping it active year after year is where small businesses lose time. We handle all of it for you, correctly the first time, so your registration never lapses at the wrong moment.

What's included

Everything from entity validation to an active registration.

01

Entity validation & UEI

We get your business validated and your Unique Entity ID (UEI) issued, resolving the name, address, and IRS mismatches that stall most registrations.

02

NAICS & PSC code strategy

We select the NAICS and Product Service Codes that put you in front of the agencies actually buying what you sell — so your registration works as a marketing asset, not just a checkbox.

03

Full registration build

We complete every section — business details, financial and banking info, reps & certifications, and your point-of-contact structure — accurate and consistent with your official records.

04

DSBS profile & active status

We confirm your registration goes active and build your SBA Dynamic Small Business Search (DSBS) profile so buyers can find you — then keep it current with annual renewals.

Before you start

You need an active SAM registration if you plan to:

  • Bid on federal contracts or subcontracts.

  • Pursue a GSA Schedule, OASIS+, or any other governmentwide vehicle.

  • Apply for federal grants or assistance.

  • Sell to agencies that require registered vendors before they'll cut a purchase order.

If any of these is on your roadmap, SAM is step one — and it has to be right before the rest of your federal strategy can move. Not sure where you stand? The free assessment below gives you a quick read.

The process

A clear path to "active."

1 - Free eligibility assessment

A short check to confirm what you need and surface anything to fix first.

2 - Kick-off & documents

We gather your legal business details, banking info, and IRS/state records in one organized pass.

3 - We build the registration

Entity validation, UEI, NAICS, reps & certs — completed and reviewed by us.

Submit & resolve holds

We submit and work any validation or review holds through to an active status.

Active & on the calendar

You're registered, and we track your renewal date so it never lapses.

Why Heron Writing & Consulting

A specialist who clears the holds — not a call center.

SAM.gov is free to use, and that's exactly why a botched registration is so costly: there's no help desk that knows your business.

What clients say

"Our SAM registration had been stuck for a month. Michelle had us validated and active in less than a week, and now I never have to think about the renewal."

Questions

Frequently asked

Is SAM.gov registration free?

Yes — registering in SAM.gov is free, and the government will never charge you a fee to register or to get your UEI. Be careful: scammers send official-looking emails claiming your registration is "expiring" and charge \$300–\$3,000 for the free filing. What you pay a consultant for is the work — doing it correctly, choosing the right codes, and keeping it active — not the registration itself.

Do I need a consultant to register on SAM.gov?

No — you can self-register for free if you have the time and patience. But the registration is detailed, and errors or a failed entity validation can cost you weeks. Most small-business owners would rather have it done right the first time and spend their time running the business.

How long does SAM.gov registration take?

The data entry itself takes a few hours if everything's ready. After you submit, SAM.gov can take up to about 10 business days to activate the registration — so plan on two to three weeks start to finish. Errors or a validation mismatch or when applying for your CAGE code, commonly stretch it to three to four weeks or more.

What's a UEI?

The Unique Entity ID (UEI) is the 12-character identifier SAM.gov assigns to your business. It replaced the old DUNS number and is now how the government identifies you across every system.

Do I have to renew my SAM registration?

Yes — SAM registrations expire every year and must be renewed to stay active. If yours lapses, you become ineligible for awards and payments until it's renewed. We track your renewal date and handle it before it expires, so you never go dark.

Do I need SAM.gov before a GSA Schedule?

Yes. An active SAM registration is a prerequisite for a GSA Schedule and most other federal vehicles, so it's the right first step before the rest of your strategy.
